Job description

Part Time Admissions Officer -

About Us:

The Lost Dogs' Home is one of Victoria’s most iconic animal welfare organisations, caring for thousands of lost and abandoned dogs and cats each year. We are a not-for-profit organisation dedicated to providing outstanding care to animals who find their way to us.

The Role:

In this role you will be part of a busy team that is responsible for receiving and processing incoming animals into the shelter as well as working to reunite them with their owners. This is a multi-faceted role that has a strong administration component, as well as a focus on customer service. You will be required to liaise with various councils and members of the public and have the ability to quickly process and locate information within the database.
We are looking for someone who can work effectively under pressure, in a fast-paced work environment and who enjoys working within a team of passionate people. This role also involves some hands on work and does require confidence with handling animals.

This is a part time role, 45 hours per fortnight, working Mondays, Wednesdays and Fridays, including one weekend per month.

Your responsibilities will include:

  • Collating and processing information accurately into the relevant databases for all animals arriving at the Lost Dogs home
  • Communicate with Council officers in person and via phone regarding impounded animals for both review/clarification and addition of new information
  • Responsible for scanning incoming animals and the initial investigation of microchip and identification data
  • Collating and filing incoming forms and animal transport dispatch requests
  • Notification of any animal injury or illness to the vet team, subsequently arranging vet checks if required
  • Support with ad-hoc administrative tasks as required
To be successful in this role, you need to have:
  • An ability to deal with complex information and prioritise tasks whilst maintaining integrity and quality of work
  • High level of discretion and confidentiality in dealing with internal and external stakeholders
  • Intermediate Microsoft Office and database management skills
  • Excellent customer service skills including sound written and verbal communication skills
  • Previous council experience (desirable)
  • Confidence with handling animals of different breeds and temperaments
  • Adaptability, time management, and teamwork skills
What we can offer you:
  • Unique work environment, supporting a great cause
  • Access to our Employee Assistance Program and onsite counselling service
  • Financial assistance and support for professional development activities
  • Paid parental leave entitlements
  • Access to our foster care program
  • Discounts at our Vet Clinic Frank Samways
  • Great work culture, with regular social activities organised for staff

If you believe you have the skills and experience to be our next Admissions Officer, we would love to hear from you! Please ensure you have included a copy of your cover letter and a current resume and hit apply.

The successful applicant will be required to complete satisfactory background screening checks.
