About the Role:

This is not your typical Executive Assistant role.

As Executive Assistant to the CEO at The Lost Dogs’ Home, you’ll sit at the heart of one of Victoria’s most well-known and purpose-driven animal welfare organisations. Working closely with the CEO, Board and Executive Leadership Team, you’ll provide high-level executive and governance support that helps enable strong leadership, effective decision-making and real impact for animals and the communities we serve.

This role goes beyond diary management. You’ll be a trusted partner to the CEO,  anticipating priorities, coordinating complex governance processes, managing Board and executive workflows, and acting as a key connector across the organisation. You’ll bring sound judgement, discretion and a calm, organised presence to a fast-paced environment where no two days are the same.

The role will:

  • Act as a trusted support to the CEO, anticipating priorities, pressure points and future needs.
  • Manage the CEO’s schedule and diary based on an assessment of priorities, prepare relevant papers and background information, and ensure the CEO is well organised for meetings and appointments.
  • Attend meetings and take minutes and notes as required, and follow up on action items on behalf of the CEO and Executive Team.
  • Prepare briefing packs and draft correspondence on a wide range of issues.
  • Identify and implement continuous improvement initiatives to create more efficient and effective ways of working.
  • Conduct research on behalf of the CEO to inform strategies, projects and planning approaches.
  • Develop and maintain administrative systems for the CEO’s office, ensuring effective and efficient work output.
  • Coordinate Board meetings and Board sub-committee meetings, including circulating agendas, papers and actions, and maintaining the annual calendar.
  • Act as the system owner for the Board Portal, ensuring the Board has timely and secure access to accurate and up-to-date documentation.

Our Ideal Candidate will bring:

  • Demonstrated experience and proven success as an Executive Assistant to a CEO.
  • Previous experience providing support to Boards, including acting as the system administrator for a Board Portal.
  • Demonstrated professional writing skills and proven ability to take minutes and draft professional correspondence and reports.
  • Exceptional interpersonal and communication skills, with the ability to collaborate, influence and build positive relationships at all levels of the organisation.
  • Strong stakeholder management capability, with proven experience working with Executive Teams and Boards.
  • A Highly detail-oriented, process-driven and diligent approach, with strong organisational skills and the ability to balance multiple priorities within tight timeframes.
  • Self-motivated, proactive and able to work both independently and as part of a team.
